How to make an event program
An event program is the ordered list of what will happen, when, where, and who is running it. Here's a five-step approach that works for conferences, symposiums, and nonprofit gatherings alike.
Define your audience and length
Who is coming, and how long can they realistically be there? A half-day for busy professionals looks very different from a full weekend for hobbyists. Pick the length before anything else.
Outline the flow of the day
Sketch the arc: opening, high-energy content, break, focused sessions, meal, more sessions, close. The exact topics come later — first commit to a shape that respects attention spans.
Fill in sessions and breaks
Working in a spreadsheet, add each session with a title, start, and end. Include every break and meal. If it doesn't fit, cut a session — don't shrink the breaks.
Add speakers and rooms
Attach a speaker (or comma-separated list) and a room or track to every session. For multi-track events, the room column doubles as the track label.
